Coffee machines: sell only what can be prepared

A self-service coffee purchase depends on a small, concrete promise: the selected drink must be available and prepared as described. Digital payment simplifies purchasing but does not prove there are cups, ingredients or suitable operating conditions. Link the catalog to what the machine can execute, and define a response when that information is unavailable.

Treat availability as operational information

Identify equipment signals for supplies, cleaning, faults and readiness. Document what still requires an on-site check. Connectivity does not prove the machine can prepare every catalog option. If a drink needs an unavailable ingredient, decide how to stop offering it and who confirms replenishment. Teams must follow applicable equipment instructions and product-storage guidance.

Keep selection consistent

Show prices and options before charging, using understandable names instead of internal abbreviations. Verify which variations the model can actually prepare. Use the same beverage identifier across the catalog, integration and replenishment routine. Recipe or product changes require coordinated updates so that customers do not select one option while the machine executes another configuration.

Track payment and preparation separately

Record financial approval and operational confirmation as separate events. If preparation is not confirmed, guide the customer and preserve the purchase reference. Another attempt must respect the equipment’s behavior and the previous command’s outcome. Define who checks the machine and who handles any refund rather than suggesting another charge as an immediate solution.

Example: an option becomes unavailable midday

First establish whether the system received a reliable signal or needs local inspection. Update the affected options, record replenishment and confirm restored availability. Compare purchases started, beverages confirmed and support requests about missing supplies. Reviewing events by time helps schedule replenishment visits and identify where digital information still requires a human check.

Implementation checklist

  • Document equipment signals and limitations.
  • Align catalog and preparation configuration.
  • Distinguish approved charges from confirmed beverages.
  • Record replenishment and restored availability.
